Welcome

Welcome to the 2012 Carbon Management Technology Conference (12CMTC). We are pleased to provide you with quick access to important information regarding exhibiting at the 12CMTC. We encourage you to review the contents of the Exhibitor Services Manual carefully. 

For 2012

  • Exhibit Hall is carpeted. Drape colors will be teal and gray.
  • Electricity is not included with your exhibit space, you must order electricity from the Hotel.

Children under the age of 18 are not permitted in the Exhibit Area during installation and dismantle. Children under the age of 15 are not permitted in the Exhibit Area during official show hours.

Shipping Timeline

Advance Shipments to Warehouse

Freeman will begin to accept crated, boxed or skidded materials to their warehouse beginning Friday, January 06, 2012. Material arriving after January 30, 2012 will be received at the warehouse with an additional after-deadline charge. Warehouse materials are accepted at the warehouse Monday through Friday between the hours of 8:00 AM and 3:30 PM.

Advance Shipments to Showsite

Freeman will receive shipments at the exhibit facility, Caribe Royale Hotel beginning Monday, February 06, 2012. Shipments arriving before this date may be refused by the facility. Any charges incurred for early freight accepted by the facility are the responsibility of the Exhibitor.

Exhibit Services

Official Contractor Services

  • The official decorator for this conference will be Freeman.
  • If you plan to use an Exhibitor Appointed Contractor (EAC) other than Freeman, you must submit a Work Authorization Request Form (WAR) no later than 7 January 2012.
  • If you are using the Official Contractor Service Providers below, there is no need to fax in a WAR form.
  • Upon receipt of a WAR Form, SPE Exhibits Staff will send the required paperwork to the appointed EAC. 
  • The EAC packet named below is mandatory from the EAC before the Exhibition: The Exhibitor is responsible for making sure that their EAC provides the necessary, mandatory forms for EAC personnel to be allowed on the floor to service the exhibit booths. All EAC paperwork must be received by SPE Staff no later than 15 January 2012.

Material Handling Freight Services

Freeman is the exclusive contractor that controls and supervises delivery and freight truck access to the Caribe Royale Hotel & Convention Center, assignments and usage of loading docks, and the Teamsters Union Labor responsible for the loading and unloading of freight shipments. All carriers must check in with Freeman.

Registration Information

  • The number of complimentary Full Conference Registrations will be two (2) per 100 square feet of contracted exhibit space. Registration includes admittance to Technical Sessions, Opening Reception, Exhibition, Coffee Breaks, Expo Reception, Keynote Luncheon and CD Proceedings.
  • A personalized link and login information will be provided to you. The registration information will be provided in an email sent from registration@spe.orgSetup @spe.org as a safe domain so that emails will not go into your spam folder.
  • Exhibitors may purchase up to four (4) One Day Paid Exhibitor Registrations per 100 square feet of contracted exhibit space. If an individual wants to purchase a one day exhibitor registration for multiple days, that registration cannot be completed online; he/she will have to contact registration@spe.org.
  • One Day Paid Exhibitor Registrations include access to the Exhibition, Technical Sessions and coffee breaks. This Registration does not include Proceedings or the Wednesday Keynote Luncheon.
  • Exhibitor Registration will be located onsite, and will open on Monday, 6 February at 1500 hours for badge pick-up and onsite exhibitor registration.
